We are committed to protecting the privacy and security of all users — including school administrators, teachers, students, and parents. This Privacy Policy explains what information we collect, how we use it, how we protect it, and your rights in relation to it.

By registering or using TermResult, you agree to the terms of this Privacy Policy. If you do not agree, please discontinue use of the platform immediately.

2. Information We Collect

2.1 Information Provided by Schools (Administrators)

When a school registers on TermResult, we collect:

• School name, address, contact details, and registration/accreditation number
• Administrator full name, email address, phone number, and role
• School branding assets including logos and color themes
• Academic calendar, session and term configurations
• Subscription and payment information (processed securely via our payment partners)
• Custom domain and subdomain preferences

2.2 Information About Teachers

School administrators input teacher data on their behalf. This includes:

• Full name, email address, phone number
• Subject assignments and class assignments
• Login credentials (passwords are hashed and never stored in plain text)
• Activity logs such as result uploads, attendance records, and announcements posted

2.3 Information About Students

Schools enter student records into the platform. This includes:

• Student full name, date of birth, gender, and admission number
• Class, arm, and academic session enrollment
• Academic performance data: term results, scores, grades, and positions
• Attendance records
• Fee payment records and status
• Timetable, exam, and assignment data
• Parent/guardian contact information where provided

2.4 Usage & Technical Data

We automatically collect certain technical data when you use the platform:

• IP address and approximate geographic location
• Browser type, device type, and operating system
• Pages visited, time spent, and actions taken within the platform
• Error logs and performance diagnostics
• Session tokens and authentication data

2.5 Communications

If you contact us via our contact form, email, or phone, we retain the content of that communication to respond to your inquiry and improve our support.

3. How We Use Your Information

We use the information we collect for the following purposes:

However, TermResult reserves the right to utilise aggregated, de-identified, and anonymised datasets derived from platform usage — including but not limited to academic performance metrics, institutional operational patterns, and pedagogical engagement indicators — for the purposes of educational research, developmental analytics, statistical modelling, and the advancement of national educational infrastructure. Such utilisation shall be conducted exclusively in a manner that precludes the re-identification of any individual student, teacher, or institutional administrator, and shall be undertaken in furtherance of the public interest, including contributions to governmental policy formulation, educational standard-setting bodies, and accredited research institutions operating within the Federal Republic of Nigeria and internationally.

4. Sharing & Disclosure

We do not sell, rent, or trade your personally identifiable information to third parties for their direct marketing purposes. We may, however, share data in the following circumstances:

4.1 Within Your School

School administrators can view and manage all data within their school. Teachers access only the data relevant to their assigned classes and subjects. Students can view only their own records.

4.2 Service Providers

We engage trusted third-party service providers who help us operate the platform:

• Cloud hosting and infrastructure providers (data remains within secure servers)
• Payment processors for subscription billing (they receive only payment-relevant information)
• Email delivery services for transactional notifications
• Analytics providers to help us understand platform usage (data is anonymised where possible)

All service providers are contractually obligated to protect your data and use it only for the purposes we specify.

4.3 Legal Obligations

We may disclose information if required to do so by law, court order, or government authority in Nigeria or any applicable jurisdiction, or if we believe disclosure is necessary to protect the safety, rights, or property of TermResult, our users, or the public.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of all or part of our assets, user data may be transferred as part of that transaction. We will notify affected users before their data is transferred and becomes subject to a different privacy policy.

4.5 Aggregated Data for Research & National Development

TermResult may compile, synthesise, and disseminate aggregated, statistically anonymised, and irrevocably de-identified datasets derived from the collective utilisation of the platform for the express purposes of educational research, socioeconomic developmental analysis, pedagogical advancement, and the enrichment of national human capital indices. Such datasets shall constitute proprietary intellectual assets of TermResult and may be furnished to accredited academic institutions, governmental bodies, non-governmental organisations, and bona fide research entities engaged in the furtherance of educational policy, curriculum development, and national developmental objectives.

All such data shall be processed through rigorous anonymisation protocols that render the re-identification of any individual data subject — whether student, educator, or institutional administrator — practically infeasible. TermResult undertakes that no personally identifiable information, including but not limited to names, contact particulars, biometric data, or institutional-specific identifiers, shall be disclosed, transferred, or made accessible in any form that would permit the attribution of aggregated insights to specific natural or juridical persons.

By utilising the TermResult platform, all users and subscribing institutions acknowledge and consent to the processing of their anonymised, aggregated data for the aforementioned developmental and research purposes, in accordance with the provisions of the Nigeria Data Protection Act (NDPA) and applicable international data protection frameworks.

5. Data Security

We implement robust technical and organisational security measures to protect your data against unauthorized access, alteration, disclosure, or destruction. These measures include:

• All data transmitted between your browser and our servers is encrypted using TLS/HTTPS
• Passwords are hashed using industry-standard algorithms (bcrypt) — we never store plain-text passwords
• Access to production data is restricted to authorised TermResult personnel only
• Regular security audits and vulnerability assessments of our infrastructure
• Automatic session expiry and token revocation for inactive sessions
• Database backups are encrypted and stored in geographically separate locations

Despite these measures, no system is completely immune to breaches. In the event of a data breach that affects your information, we will notify you and the relevant authorities in accordance with applicable law.

6. Data Retention

We retain your data for as long as necessary to provide our services and as required by law:

• Active school accounts: data is retained for the duration of the subscription
• After subscription cancellation: school data is retained for 90 days before permanent deletion, giving schools time to export their records
• Inactive accounts with no subscription activity for 12 months may be permanently deleted after 30-day advance notice
• Payment records are retained for 7 years to comply with Nigerian financial regulations
• Support communications are retained for up to 3 years
• Technical logs are retained for 90 days

Schools may request full data export at any time before deletion. We provide data in standard formats (PDF, Excel) upon request.

7. Your Rights

Depending on your role and applicable law, you have the following rights regarding your data:

• Right to Access — Request a copy of the personal data we hold about you
• Right to Rectification — Correct inaccurate or incomplete data
• Right to Erasure — Request deletion of your personal data (subject to legal retention requirements)
• Right to Portability — Receive your data in a structured, machine-readable format

School administrators exercise these rights on behalf of their school. Students and teachers may direct requests to their school administrator or contact us directly at support@termresult.com.

We will respond to all verified requests within 30 days.

8. Cookies & Tracking

We use cookies and similar technologies to operate the platform effectively. The types we use include:

• Essential Cookies — Required for authentication, session management, and core platform functionality. These cannot be disabled without disrupting your use of the platform.
• Performance Cookies — Help us understand how users interact with the platform so we can improve it. Data is collected in aggregate form.
• Preference Cookies — Remember your settings and preferences (e.g. sidebar state, theme settings).

We do not use advertising or third-party tracking cookies. You may configure your browser to block all cookies, but this will prevent login and other core features from working.

9. Children's Privacy

TermResult is designed to support schools in managing student records, including records of minors. We take children's privacy very seriously.

Student data — including that of children under 13 — is entered and managed by the school, not collected directly from children. Schools are responsible for obtaining any necessary parental consent required by applicable law before entering a minor's data into the platform.

We do not use children's data for any purpose other than providing the school management services the school has contracted us for. We do not display advertising to students, and we do not build behavioural profiles of students.

10. Third-Party Services

Our platform may integrate with or link to third-party services. We are not responsible for the privacy practices of these services. We recommend reviewing the privacy policies of any third-party service you use in connection with TermResult, including:

• Payment processors (e.g. Paystack, Flutterwave)
• Cloud infrastructure providers
• External links in announcement content posted by schools

11. International Transfers

TermResult is operated primarily within Nigeria. If your data is transferred outside Nigeria to our cloud infrastructure or service providers, we ensure appropriate safeguards are in place, including contractual data protection clauses and adherence to applicable data transfer requirements.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make material changes, we will:

• Notify school administrators via email at least 14 days before changes take effect
• Display a prominent notice on the platform dashboard

Your continued use of TermResult after the effective date of any changes constitutes your acceptance of the updated policy.
